Job Description

Job Responsibilities

  • Procurement of Medicine, Surgical items, lab reagents, and Medical Equipment.
  • Procurement data record-keeping and reporting
  • Collaboration with internal and external stakeholders or sectors/CSUs

Activities:

  • Responsible for sourcing, negotiation, comparative statement approval, ordering, delivery follow-up, and maintaining the end-to-end supply chain process of Medicine, Surgical items, Lab reagent, Dental items, OT items, and Medical Equipment for Various units of Health.
  • Review purchase requisitions and manage the procurement process for pharmaceuticals and medical equipment requirements of the Health Program.
  • Analyze quotations for making comparative statements and evolution of the Procurement Committee.
  • Prepare purchase orders, ensure placing Purchase orders on time to suppliers and respective departments, and follow up with vendors for timely delivery.
  • Support in the development processes to ensure compliance related to quality control and cold chain management.
  • Checking shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
  • Assist the team in liaising with pharmaceutical companies and other external providers of medicine, reagents, and medical consumables to request quotes, order confirmations, and delivery.
  • Maintain purchase files, registers, and reports and keep the Procurement data as per Friendship Procurement policy and Procedures for future audit purposes.
  • Receive and check bills with purchase orders for accuracy, get approval from the Head of Procurement, and forward them to Finance for payment.
  • Maintain relationships with various departments across the organization, including the health, administration, and Finance departments.
  • Continuously adopt knowledge of all organizational and governmental rules affecting the purchase and share these with vendors.
  • Maintain Good Communication and Professional relationships with vendors.
  • Field visits whenever required.
  • Any other task assigned by supervisor/Management

Job Requirements

Age 30 to 35 years Required Experience:3 years of working experience in the purchase department.Skill and CompetenciesTechnical Competencies:Knowledge of procurement procedures.Analytical & problem-solving ability.Strong communication & negotiation skills.Computer-skilled in MS Office and ERPBehavioral Competencies:Deliver results under pressure.Demonstrates integrity by modeling Friendship’s values and ethical standards.Prioritizes & delivers tasks on time.Teamwork.
