Job Purpose
Provide strategic and administrative support to the Group Director, Infrastructure Planning & Development to ensure the efficient and effective management of day-to-day activities, including developing and distributing communication materials to keep employees informed of organizational strategic changes.
Key Responsibilities
Coordinate and organize meetings, conferences, workshops, and official events for the Group Director, including preparation of minutes, action notes, and follow-up on key decisions.
Manage the Group Director’s schedule, appointments, e-calendar, and office administration, including logistical, procurement, and requisition support in compliance with organizational policies and budgets.
Coordinate official travel arrangements for the Group Director, including visas, accommodation, transportation, and travel itineraries.
Maintain effective communication and coordination across BRAC and BRAC University with stakeholders, government offices, external partners, senior management, and internal teams.
Manage the Group Director’s official communication and correspondence, ensuring timely review, response, and distribution of letters, emails, and official documents.
Develop and prepare communication and presentation materials for the Group Director, including speeches, presentations, briefing notes, agendas, memos, circulars, newsletters, and other official documents.
Contribute to the preparation and coordination of the Department’s Annual Operating Plan (AOP), quarterly reflection reports, and other strategic reports in collaboration with all units under the Infrastructure Planning & Development Department.
Review and verify financial and administrative documents to ensure compliance with organizational policies before submission for approval.
Support the department in implementing change management initiatives and operational transformation activities to improve operational efficiency and effectiveness.
SAFEGUARDING RESPONSIBILITIES
Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme`s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
Age At least 24 years Additional Job RequirementsExcellent verbal and written communication skills in both English and Bangla.Strong interpersonal, coordination, and relationship management skills and multitasking abilities.Strong report writing, presentation development, and documentation skills.Proficiency in Microsoft Office Suite, email communication, virtual meeting platforms, and office management tools.Sound knowledge of office administration, strategic planning & executive coordination, and stakeholder management processes.Knowledge of financial and administrative compliance procedures and organizational policies. Adaptability to organizational change and operational transformation.Ability to work effectively with diverse stakeholders and cross-functional teams.Ability to maintain accuracy and quality under pressure and tight deadlines.This position is open for Bangladeshi nationals only.Experience RequirementsMinimum 2 years of working experience in the administrative and secretarial support. Working experience in development sector will be given preference.
