The HR Associate is responsible for providing the require assistance in the various Human Resource functions, which include Recruitment, Documentation & Data Management, Compensation & Benefits, Administration, Training & Development.
The position is also responsible for providing adequate information on time to the focal of HR & Admin department for appropriate decision making and policy implementation. HR Associate is bound to ensure the best practice of NGOF organizational policies & maintain the utmost confidentiality of HR & Administrative work.
Key Duties & Responsibilities:
1. Recruitment: Assist the Officer HR & Admin with the entire recruitment process as needed. Assist in conducting test & interview and ensure the proper documentation of the whole recruitment process.
2. Documentation & Data Management: Assist Officer HR & Admin with employee onboarding and orientation. Focal person for staff personal file documentation. Ensure and maintain staff database, Volunteer database, and other data connected to the HR & Admin department. Ensure the Staff ID card /RRRC Id card & Organizational visibility distribution.
3. Compensation & Benefits: Assist Officer HR & Admin in tracking staff attendance & Leave forms. Reporting the attendance information in an appropriate manner to ensure the monthly payroll. Ensure the staff’s resignation documentation. Moreover, ensure the staffs monthly Pay slip documentation. Ensure staff monthly Mobile Bill & Office Cleaners monthly bills.
4. Administrative Billings: Coordinate with the Officer HR & Admin and Project Finance Department to ensure that all regular office maintenance, utilities, and administrative expenses are paid. Ensure the proper documentation of all office administrative papers in place, such as office agreements, vehicle agreements, and fuel agreements
5. Store Management: Maintain the NGOF – UNHCR Project PMU Store to ensure effective support for stationery and office maintenance equipment. Regularly update the stock book and Bin Cards. Supply office stationery and maintenance items based on requisitions from field offices and PMU offices.
6. Asset Management: Track overall assets for the NGOF – UNHCR Project and maintain an Asset Register for fixed asset tracking. Support the Senior Officer HR & Admin in the efficient distribution of assets according to project requirements. Ensure proper documentation is maintained for all aspects of asset management.
7. Assist in Fleet Management & Billings: Support the Officer HR & Admin' in fleet management and billings as necessary. In the absence of the 'Admin Associate,' take the lead in providing fleet support to the PMU as required.
Other responsibilities: Assist in other HR & Administrative work as required, Adherence of NGO Forum for Public Health HR Policy & other policies and ensure the best practice of organizational policies.
Age 25 to 35 years Previous working experience HR & Administration in the relevant discipline.The applicants should have experience in the following area(s):· HR Operations. Office Administrations. Ability to work well under pressure. Should have good interpersonal skills. Potential to handle conflict. Sound knowledge in Email/Outlook communication & MS Office
