Job Responsibilities:
The Officer / Associate – Store & Inventory is responsible for ensuring efficient management of the organization's inventory, stores, and assets to support smooth operational activities across head office and branch locations. The position oversees the receipt, storage, distribution, and record-keeping of office supplies, equipment, and other organizational resources while maintaining accurate inventory records and compliance with internal policies and procedures. The Officer works closely with procurement, finance, logistics, and branch teams to ensure the timely availability of materials, effective stock control, asset accountability, and support for audit and reporting requirements.
Inventory Management
Monitor stock levels and maintain optimal inventory.
Record all inventory transactions accurately in the inventory management system.
Conduct regular physical stock counts and cycle counts.
Investigate and resolve inventory discrepancies.
Receiving and Storage
Receive incoming materials and verify quantities and quality against purchase orders and delivery documents.
Ensure proper labeling, storage, and arrangement of items.
Maintain warehouse/store organization for easy identification and retrieval.
Issuance and Distribution
Issue materials/items/products according to approved requisitions.
Prepare and maintain issue notes, delivery notes, and related documentation.
Track movement of inventory between locations.
Documentation and Reporting
Maintain stock registers and inventory databases.
Prepare daily, weekly, and monthly inventory reports.
Generate reports on stock consumption, slow-moving items, and stock shortages.
Stock Control
Monitor reorder levels and inform procurement teams about replenishment needs.
Coordinate with purchasing and production departments to ensure uninterrupted operations.
Help minimize inventory losses, damage, and obsolescence.
Compliance and Safety
Ensure compliance with company policies and inventory procedures.
Follow workplace safety standards in storage and handling activities.
Maintain proper housekeeping within the store or warehouse.
Coordination
Liaise with procurement, finance, production, and logistics teams.
Support internal and external audits by providing inventory records and documentation.
Related task
Ensure readiness to perform any other task assigned by the management.
Age 28 to 38 years Inventory control and stock management. Knowledge of ERP systems (such as SAP, Oracle, or other inventory software). Strong record-keeping and reporting skills. Proficiency in Microsoft Excel. Attention to detail and accuracy. Organizational and problem-solving skills. Good communication and teamwork abilities.
